Work Schedule:
- 40 hours a week
- Monday and Wednesday: 7:30 am to 12:00 pm and 2:00 pm to 6:30 pm
- Tuesday and Thursday: 9:00 am to 12:30 pm and 1:30 pm to 5:30 pm
- Friday: 7:30 am to 12:30 pm
- Some additional hours may be needed for admin task
Position Overview:
The Office Manager will be responsible for overseeing the day-to-day administrative operations of the chiropractic practice. This role involves managing staff, coordinating patient services, handling billing and financials, ensuring compliance with office policies, and enhancing patient satisfaction.
Key Responsibilities:
Administrative Management:
- Oversee the daily operations of the front office, including reception, scheduling, and patient flow.
- Manage electronic health records (EHR) and ensure accurate data entry and record-keeping.
- Develop and implement office policies and procedures to improve efficiency and service quality.
Patient Relations:
- Ensure a welcoming and professional environment for patients.
- Address patient inquiries, complaints, and concerns promptly and effectively.
- Coordinate patient appointments, follow-ups, and referrals.
Financial Management:
- Manage accounts receivable and payable, and oversee collections.
- Prepare financial reports and assist with budgeting.
Human Resources:
- Supervise office staff, including hiring, training, and performance evaluations.
- Schedule staff shifts and ensure adequate coverage.
- Handle employee relations and ensure compliance with labor laws.
Compliance and Quality Assurance:
- Ensure the practice adheres to all regulatory and compliance requirements.
- Maintain a clean, organized, and safe office environment.
- Implement and monitor quality control measures.
Technology and Equipment:
- Oversee maintenance and functionality of office equipment and software.
- Coordinate with IT support for any technical issues.
Marketing and Outreach:
- Assist in developing and implementing marketing strategies to attract new patients.
- Coordinate community outreach events and health fairs.
