Job Description:

Are you a detail-oriented and personable individual with a passion for providing exceptional customer service? We are seeking a Front Desk/Administrative Assistant to join our team! As the first point of contact for our valued clients, you will play a pivotal role in ensuring a positive experience and smooth operations within our office.

Main Responsibilities:

  • Check-In and Check-Out: Greet clients warmly, assist with check-in, and ensure a seamless check-out process.
  • Phone Communications: Handle incoming calls professionally, addressing inquiries, scheduling appointments, and providing information.
  • Scheduling: Manage appointment schedules efficiently to optimize office flow and accommodate client needs.
  • Payment Processing: Collect and process payments accurately, maintaining financial records.
  • Insurance Verification: Verify insurance coverage and documentation, providing assistance in understanding insurance details. (Insurance knowledge is preferred but not required).
  • Communication: Respond to emails, texts, and voicemails promptly, ensuring effective communication with clients and colleagues.
  • Office Assistance: Provide general administrative support, maintaining a tidy reception area and assisting with various office tasks.
  • Hybrid Role: Assist in overseeing office operations, working closely with the Office Manager to ensure smooth daily functioning.
  • Training: Train new candidates on insurance procedures, fostering a knowledgeable team.
  • Insurance Documentation: Assist in managing insurance-related paperwork and documentation.
  • Bonus Training: Openness to learn and support candidates in developing insurance knowledge, although prior experience is not required.

Qualifications:

  • Excellent communication and interpersonal skills.
  • Strong organizational abilities and attention to detail.
  • Proficiency in using computers, scheduling software, and general office applications.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Positive attitude and willingness to learn.
  • Prior experience in customer service or administrative roles is preferred but not required.
  • Background in Healthcare or any Medical Office is a MUST.
