Mission/Purpose:

Join a dedicated team of natural health and wellness advocates in a fully virtual practice focused on healing type 2 diabetes. As the Appointment Coordinator, you will be the first point of contact for prospective patients, engaging with them via phone, text, and email. Your role is pivotal in connecting potential patients with our admissions team, ensuring a smooth flow of information, and supporting both sales and operations in line with high customer service standards. You’ll handle inquiries with composure and communicate clearly and effectively.

Key Responsibilities

Job-Specific:

  • Maintain and update the schedules for practitioners and the admissions team daily using Practice Better.
  • Utilize computer and phone systems to accurately schedule, modify, and confirm Day 1 and Report of Findings appointments.
  • Guide patients on how to prepare for upcoming appointments and follow-ups.
  • Send emails with necessary forms, questionnaires, and instructions to educate and inform patients about their appointments.
  • Verify and update patient insurance and demographic information in our systems.
  • Regularly attend work and meetings to fulfill essential job functions.
  • Continuously meet competency requirements to maintain the skills and knowledge needed for the role.

Technical Knowledge (Required):

  • Tech-savvy with proficiency in digital tools and platforms
  • Google Suite (Drive, Docs, Sheets, Slides)
  • Zoom

Technical Knowledge (Preferred but not required)

  • Go High Level
  • Facebook Pages and Messaging
  • Google Voice or similar VOIP services
  • Practice Better or similar practice management software
  • Slack

Qualifications (Must-Haves):

  • 2+ years of experience in customer service or similar roles
  • Experience in front desk management or client-facing service roles
  • Native English speaker with excellent fluency and diction
  • Comfortable conducting Zoom calls
  • Must be able to follow a Pacific Standard Time Zone work schedule

Qualifications (Nice-to-Haves):

  • Project management experience
  • Experience in the health and wellness industries is preferred but not required
  • Spanish language preferred but not required
