Job Description

We are offering an opportunity to showcase your leadership and management skills as an Office Manager. We are looking for a confident person with great people and organizational skills and a passion for helping others. Excellent leadership skills are a must to ensure service is provided with a high degree of quality. You will be responsible for designing, planning and implementing business strategies, plans and procedures in cooperation with the executive team and enforcing policies and procedures that promote company culture and vision.

In this position your main goal will be to help the CEO focus on the vision of the organization, remove unnecessary friction from his days, allowing him to think about enhancing and growing the businesses.

    Responsibilities 

    • Assist in establishing a CRM system and helping the staff learn to use it
    • Set and oversee bi-weekly staff calls
    • Assist the CEO in facilitating effective decision-making
    • Act as mediator between sales and operations, helping both sides better communicate
    • Assess and respond to inquiries directed to the CEO
    • Oversee HR and Payroll service providers
    • Oversee scheduling of jobs
    • Enter invoices and make initial collection calls when needed
    • Ensure sales team follows through with necessary steps to close business
    • Basic bookkeeping functions with assistance of outsourced bookkeeping service
    • Keep thorough and accurate records of customer interactions, action items, and file documentation, mainly within the CRM system
    • Foster current and new client relationships as the internal face of the companies
    • Review and execute contracts as needed
    • Identify and develop strategic initiatives to help the businesses accomplish the vision of the CEO 
    • Provide recommendations or suggestions for changes or improvements to company processes. 
    • Basic filing where some paper is still used.  Help move the office to less and less paper
    • Research portfolio of clients and share best practices within the organization
    • Provide accurate, valid and complete information to Clients and Team Members using the right methods/tools
    • Draft job descriptions like this one so that they are accurate and more interesting than this one
    • Adhere to the Company’s Code of Conduct/Ethics
    • Create and maintain effective working relationships with other Company employees
    • Ability to task switch, prioritize, and manage time effectively
    • Ensure security of information in all matters pertaining to the companies and transactions
    • Develop and execute strategies that improve effectiveness and efficiencies as needed 
    • Expand and develop client relationships as needed
    • Provide superior customer, vendor, and employee experience to maximize satisfaction of all stakeholders
    • Assist with developing and creating marketing materials such as brochures, presentations and client touch pieces in conjunction with management and service providers
    • Maintain all current versions of existing marketing materials, webinar decks and regularly communicate suggested changes to management.
    • Research and make recommendations and or enhancement suggestions to business development process
    • Support the efforts of the companies by maintaining a business network of contacts 

      Requirements

      • Demonstrate knowledge of various technologies, particularly Google
      • Demonstrate knowledge of customer care, business development, basic accounting, basic marketing
      • College Degree preferred but not required as long as you have pertinent experience
      • Excellent customer service and interpersonal skills
      • Excellent verbal and written communication skills
      • Spanish language a plus, not a requirement
      • Able to interpret a variety of instructions furnished in written, oral, diagram, schedule, or maybe even grunting and pointing.
      • Able to define problems, collect data, establish facts, and draw valid conclusions.
      • Ability to bridge personalities, be pleasant to be around, and diffuse conflict
      •  We use Google workspace, but we are always looking at new technological tools, so we need someone who just understands how to intuitively work with technological tools
      • Previous experience in leadership and management preferredBenefits
        • Monday to Friday position flexible with work schedule you can expect typical office hours.
        • 40 hours per week
        • Flexibility with working remotely but they will need to go to the office some days of the week.

          Salary: $50k – $60k/year depending on experience
