ROLE SCHEDULE
Monday: 9:05 am – 12:30 pm & 1:30 pm – 7:30 pm

Tuesday: 9:05 am – 12:30pm & 1:30 pm – 7:30 pm 

Wednesday: 6:05 am – 12:30 pm & 1:30 pm – 5:30 pm 

Thursday: 9:05 am – 12:30 pm & 1:30 pm – 7:30 pm 

Friday: 6:20 am – 12:30 pm 

JOB SUMMARY
This position is an exciting leadership opportunity for someone that excels in developing and maintaining relationships and creating an extraordinary experience for others. 
The Check-in Chiropractic Assistant is the “Boss of Today”. The primary focus is always patient flow, originally scheduled appointments, and compliance. CICA is always ready to receive the incoming patients and is the timekeeper for the office. CICA is the secondary for incoming calls and instrumental in setting the patients expectations for their appointment (i.e: Scan in, go to room when called, scan in adj room, lay face down, and or exam). The CICA is the owner of the adjustment rooms and exam rooms and it is their responsibility to manage them in accordance with the patient flow. 
 
RESPONSIBILITIES

  • Managing the “state” of the office (Keep the energy high) 
  • Preparing for the team huddle
  • Updating daily exam and NP lists 
  • Leading the Team Huddle
  • Turn Music On before opening each shift
  • Greet Patients
  • Check patients In 
  • Manage Patient Appointments 
  • Manage the office flow 
  • Informing Techs of arriving New Patients and Exams 
  • 15 Minute no show calls
  • Managing Missed Appointments (RQ) 
  • Answering calls if COCA is unable 
  • Stop Managing Patient to make up missed appointments
  • Scheduling appointments (make-up) 
  • Confirmation phone calls for New Patients and Better Results Faster Workshops for next day/Monday appointments 
  • Printing and managing Stop Managers Daily 
  • Managing the flow of documents that need to be reviewed or messages that need to be delivered to doctors or team
  • Enter, Track and update Monday.com with daily appointment statistics 
  • Entering/Deleting proper “Stop Managers” 
  • Promoting “promotions” with hand-outs, flyers, and communications 
  • Opening/Closing the arrivals program
